Vala supports PDF files and images (PNG, JPG, TIFF). Scanned documents and images are automatically processed with OCR to extract text.

Q2. How does AI document processing work?

When you upload a document, Vala automatically extracts text, categorizes it (medical records, VA forms, military records, legal, etc.), generates a summary, and pulls out key data like conditions, ratings, and biographical information. The entire pipeline runs automatically after upload.

Q3. Can I search across all of a client's documents?

Yes. Use the document search feature (Ctrl+F) from a client's documents tab to search for specific terms across all uploaded documents.

Q4. How do I make a call and get a transcript?

Go to the Calls page, select a client, and use the built-in dialer. Vala records and transcribes the call in real time. After the call ends, the transcript is saved and AI automatically extracts structured data like conditions mentioned, personal details, and intake information.

Q5. How does AI chat work?

The AI assistant can answer questions about your client's documents, conditions, and ratings. Start a chat session from the sidebar, select a client for context, and ask questions. The assistant pulls from all uploaded documents to give sourced answers.

Q6. Can Vala fill out VA forms automatically?

Yes. Ask the AI assistant to fill out a VA form and it will pre-populate fields using data from the client's documents, call transcripts, and profile. You can review and edit fields before generating the final PDF.

Q7. How do I set up automations?

Go to Tools > Automations to create workflows that trigger automatically. You can set up automations to create tasks, apply checklists, and more when certain events occur like a new client being added or a document finishing processing.

Q8. How do I invite team members?

Go to Settings > Team and click Invite. Enter your team member's email and assign a role. They'll receive an email invitation to join your organization.

Q9. How do I export my client list?

From the Clients page, click the menu on the "Add New Client" button and select "Export as CSV" to download your full client list.

Q10. How do I manage my subscription and billing?

Go to Settings > Billing to view your current plan, manage your subscription, or update payment information through the Stripe billing portal.
